Here is what sellers forget: a buyer who contacts you has almost certainly contacted several other sellers in the same minute. From that moment, you are in a race you cannot see. Two things decide it — how fast you respond, and how the response feels.
Speed: interest has a half-life
Buyer enthusiasm peaks at the moment of inquiry and decays with every silent hour. A reply within minutes catches the buyer while your unit is still open in their browser; a reply two days later reaches someone who has already booked viewings elsewhere. You do not need to live on your phone — you need a system: notifications on, a saved first-reply template, and a habit of acknowledging fast even when the full answer must wait. A short message saying you will send details this evening keeps you in the race.
Tone: people buy from people
Property deals are large, stressful, and personal. Curt one-word replies, interrogating the buyer before answering anything, or visible irritation at basic questions all push people toward friendlier sellers — even at a slightly higher price. The tone that works is simple:
- Greet and thank the person for their interest.
- Answer the actual question first, fully and honestly.
- Add one helpful detail they did not ask for.
- End with an easy next step, such as offering a viewing time.
Handle repetitive questions without losing patience
You will be asked the same five questions endlessly: price, area, finishing, payment, and viewing times. Prepare polished answers once and reuse them. Better still, put those answers in the listing itself so the inquiries you receive start closer to a deal.
The takeaway: in a market full of slow and grumpy sellers, being quick and pleasant is a genuine competitive advantage — and it costs nothing.
