Moving-Out Day: Handover, Deposits, and Leaving on Good Terms

A tenancy is judged by its ending. Months of smooth payments can be forgotten in one chaotic moving-out day, while a clean, respectful handover leaves both sides willing to vouch for each other in the future. The good news: a calm ending is almost entirely a matter of preparation.

Before the day: notice and preparation

The tenant should give notice in writing within the period the contract defines, then use the remaining weeks well: settle final utility bills, remove belongings gradually, repair any damage caused during the stay, and clean the unit properly. The landlord should confirm the handover appointment, retrieve the original condition report, and calculate any agreed final amounts in advance so the meeting holds no surprises.

On the day: the joint walkthrough

  • Walk the unit together with the check-in report and photos in hand.
  • Record meter readings and confirm bills are settled up to the handover date.
  • Distinguish normal wear from damage, item by item, calmly and in writing.
  • Count keys, access cards, and any furniture against the original inventory.
  • Sign a final settlement covering the deposit and any deductions agreed.

Closing accounts and closing well

The deposit should be returned per the contract once the walkthrough confirms the unit's state, against a signed receipt. In compounds, notify facility management of the change so gate access and service accounts transfer cleanly. Then comes the part that costs nothing and is worth much: parting with courtesy. A landlord's honest reference helps a good tenant rent their next home; a tenant's goodwill spares the landlord stories in the community.

The takeaway: moving out is a process, not an argument waiting to happen. Written notice, a prepared unit, a documented joint walkthrough, a signed settlement, and mutual courtesy close the tenancy the way it deserves, and keep both reputations intact in a market where reputation travels fast.
